Risk Management
IT and Telecommunications IT & Telecommunications
LOC Operations, Legacy & Knowledge Sharing

Volunteer Programme

Volunteer programmes are essential to the success of major events.

The increasing awareness of the concept of volunteerism as a key to major event success was significantly manifest in the 2000 Sydney Olympics; this concept was carried through to the 2003 Cricket World Cup in South Africa, Athens in 2004, FIFA World Cup in Germany and on into the ICC Cricket World Cup 2007.

Fundamentally, the role of the volunteer is to add value to the event.

The  ICC Cricket World Cup 2007 Volunteer Programme for example focused on the above by achieving two key objectives:

  • Deliver Service Excellence in our scope of operation.
  • Leave a Legacy of Volunteerism and Community Service in the countries in which we serve.

These objectives were achieved by well practiced and proven methods of consultation, selection, training and standards.   By the event Rushmans had trained, developed and motivated over 4,300 people throughout the Caribbean, from different cultures and different countries, to deliver outstanding service and leave an on-going legacy for future events.

Event Operations – Event Day Delivery

This programme requires close liaison with the Local Organising Committees (LOC) and the International Federations (IF).

Depending on the nature of the Event, Rushmans deploy tournament venue managers who will oversee the implementation of event day operations at their assigned venue and ensure delivery of the rights and obligations of the LOC and/or International Federations within that venue on event days.

The appointed venue manager plays an integral role in facilitating clear and open communication channels between all stakeholder groups and undertakes problem resolution as required to ensure delivery of these rights.

Rushmans can also provide assistance in the preparation and development of match day operations documentation including operations procedures, run sheets, event manuals, etc. all of which the tournament venue managers will work with the LOC and/or International Federation to ensure operational delivery of on event day

IT & Telecommunications

Events requires sophisticated IT & Telecommunications solutions for example, but by no means limited to the following areas:

  • Ticketing System
  • Management Systems
  • Media Information System
  • Accreditation System
  • Advanced, reliable & extensive telecommunications facilities
  • CCTV
  • Security Incident Tracking
  • VIP & Protocol System
  • Volunteer System

Together and with the local service providers and International IT integrators as required, Rushmans plan, specify, manage and integrate the above systems required to deliver success.

LOC Operations, Legacy & Knowledge Sharing

Management of an Event in all aspects is guided by the goal to achieve world class standards at best value. This includes the use of the best national and global resources.

In a number of cases, the Local Organising Committees will be staging the Event and it is they that need to be empowered with the knowledge and expertise to exceed the standards of, for example, a previous World Event or Games. It is within the LOCs that lies the real opportunity for empowerment and knowledge sharing, and as part of expertise, Rushmans can work to help facilitate this.

Spectator Services

The key to successful delivery of major sports events is preparing the organisation and their teams to think and act operationally.  This can be achieved by developing an integrated operations based approach.

For many organisations the natural focus is on individual functional based planning.  This programme however develops a holistic view of the event, promotes communication and integration and focuses on the important interdependencies between functions.

Through integrated planning and interactive training exercises that simulate ‘live’ event operations teams will gain a clearer understanding and greater confidence for operational delivery.

By drawing on extensive experience and knowledge transfer from a range of International events this programme ensures that organisations and their teams are fully prepared for operations.

Each programme is tailored to meet the needs of the individual event.  In essence this consists of:

Integrated Functional Planning

  • Developing Concepts of Functional Operations
  • Identifying and co-ordinating Operational Policies and Procedures
  • Gap analysis and operational issue resolution
  • Implementing a structured roadmap for planning

Operations Focused Workshops

  • Walking through specific elements of operations
  • Educating teams on operational plans and procedures
  • Tabletop discussions around standard and non standard operations
  • Clarifying the understanding of event operations

Interactive Training Exercises

  • Role playing and practising actual operations in venues
  • Simulating situations that will and do occur
  • Clarifying roles and responsibilities and defining decision making
  • Building strong communications channels and protocols

Risk Management

An often-ignored aspect of the event industry is that risk is an integral part of it.

If an event manager is risking a large sum of money on the success of an event, then in just about every other area of the event, the risk has to be determinedly reduced to a minimum.

With changes that are happening in the general business environment such as deregulation, globalisation and the pervasive growth of information technology, a detailed plan for a major event can be out of date long before the event actually occurs. The measurable objectives, so carefully thought out, can quickly become constraints and strangle the creativity so needed in a changing environment.

Therefore, dealing with the incumbent risk that comes with organising an event in an ever-changing environment, requires that Risk Management be viewed as part of a dynamic, competitive process rather than as just an additional static project management activity.
